Common questions
How do I add up hours worked?
For each shift, take the clock-out time minus the clock-in time and subtract the unpaid break, then add the shifts. 9:00 to 5:30 with a 30 minute break is 8 hours. The calculator does it for every day and totals the week in hours and minutes and as a decimal.
How do I convert minutes to decimal hours?
Divide the minutes by 60: 15 minutes is 0.25, 30 is 0.50, 45 is 0.75, and 7:20 is 7.33 hours. The total is shown both ways so it matches a time clock and a pay slip.
When does overtime start?
Under the US Fair Labor Standards Act (29 U.S.C. 207), after 40 hours in a workweek, at not less than one and a half times the regular rate, for employees who are not exempt. Some states add daily overtime: California pays time and a half after 8 hours in a day and double time after 12 (California Department of Industrial Relations overtime FAQ, read 4 October 2026). Set the limits under Overtime rules to match your state or contract.
Does overtime carry over in a two-week pay period?
No. Federal overtime is worked out one workweek at a time, so the calculator splits each week separately: 45 hours then 35 hours is 5 hours of overtime even though the two weeks average 40.
What is the 7-minute rule?
Quarter-hour rounding. US regulations let an employer round times to the nearest 5 minutes, tenth of an hour or quarter hour as long as it averages out and does not short employees (29 CFR 785.48(b), read 4 October 2026). With quarter hours, 1 to 7 minutes round down and 8 to 14 round up. Choose Nearest 15 minutes to apply it to each shift.
How are night shifts handled?
If the clock-out time is earlier than the clock-in time, the shift is taken to end the next day: 22:00 to 06:00 is 8 hours. Type each shift on the day it starts.
